What We Need

Defyned Brands is seeking a proactive Senior Office Manager to join our team. This role, reporting to the VP of People Operations, will require someone who enjoys supporting a business and fellow peers. The ideal candidate will be a self-starter, who is just as comfortable working autonomously as with a team. This candidate should be culture-focused, bringing enthusiasm and organization to the office, while exhibiting ability to tackle store facility needs and communicate directly with our retail managers from our 50+ locations.

As our Senior Office Manager, you will be pivotal to ensuring our people can do their best work and that the foundational support necessary to operate well are in place.

What You’ll Do

Provide direction and coordination to retail stores for facility issues and repairs (who to call, pulling pricing, coordinating as needed)
Support retail store teams through facility utilities contract management
For headquarters, assist HR department with monthly and/or quarterly team events such as planning tasks, set up, take down, supplies runs, etc.
Manage office, kitchen and cleaning supply inventory at HQ, maintaining appropriate ordering
Proactively maintain a ready office and take pride in supporting general office needs
Organize the occasional booking of travel and accommodation arrangements for traveling staff (HQ only)
Manage utility service agreements for HQ office operations and any documentation on insurance, office equipment and property
Support various office or personnel project activities as needed
Helping with occasional administrative functions that support our executive staff
Check and sort the mail on a regular basis and help facilitate outgoing parcel shipping
Assist with renewing annual business licenses and other required business licenses

What Experience Is Desired

3+ years of relevant experience with progressive responsibility in office, retail operations or facilities administration
Ability to respond effectively to time sensitive demands & inquiries
Proficiency using Microsoft office suite, and other relevant software
Demonstrated strong proactive problem-solving skills
Good communication skills
