Responsibilities
The Customer Service Manager (“CSM”) is expected to handle all the same daily procedures as the Customer Service Representatives (“CSR”) and Kids Club Attendants (“KCA”) as well as their supervisor duties and setting a customer service quality standard for other staff to follow
You will be the person keeping the CSR and KCA on task and aware of all policies and procedures
This position is the primary means to communicate messages/tasks from the General Manager to the staff
The CSM position has responsibility for overseeing the Front Desk and Kids Club to ensure smooth operations and the safety of the children in the Kids Club
The CSM will train our new CSR and KCA and develop them into Texas Family Fitness (“TFF”) superstars!
The CSM will manage work schedules to maximize productivity and effectiveness of our teams
Be positive and professional at all times (Be a Role Model)
All general CSR duties (see below), as well as ensuring staff are performing to company standards
Approve/Deny shift changes and time off requests
Cover any shift that a CSR or KCA does not show up for
Greet every member and guest by name promptly and engage with every member to ensure they feel welcomed as a part of the TFF family
The CSR will knowledgeably answer inquiries by phone and in person, take messages, use the paging system effectively and handle questions regarding membership and services
Promptly resolve guest complaints in a professional, courteous manner
Oversee the security of retail and concessions and happily provide/offer each member every day with the opportunity to purchase their favorite items
You are expected to maintain a clean, family-friendly and professional appearance and ensure the lobby and the restrooms are clean, neat and organized as well as ensuring the front desk is a friendly welcoming environment and never left unattended
The CSR is expected to greet guests by name as they enter, wish them a great workout and politely bid them farewell upon departure
The CSR will ensure children are accompanied by an adult member and escorted to the Kids Club for their safety and security
You will confirm appointments, assist with referrals, utilize walk-in procedures as well as promptly process membership cancellations, up-sell family memberships, retain existing memberships and sell retail concessions and supplements
It is critical that the CSR maintain confidentiality of all member/guest records and update contact information as needed
At the time of check-in, the CSR will verify balances owed and when necessary, receive gym membership payments; posting them promptly and accurately for a zero balance
You will verify account information on file, including credit card information to ensure it is current and up to date
Provide exceptional customer service at all times, exceeding our member’s expectations
Greet every guest promptly and engage directly with every child upon entering the Kids Club area by using eye contact, bending down and talking directly to the children
Inquire about each child when checking in to ensure the best possible care and safety precautions
Provide friendly customer service with a smile and relate to children, members, guests and other staff in a positive manner
Conduct yourself as a positive "role model" by providing appropriate direction and mentoring of the children during their activities, providing positive reinforcement, maintaining a clean and professional “family-friendly” appearance, and by helping children develop age appropriate skills, abilities, and motivation
Responsible for the overall care and well-being of the children in the Kids Club
Maintain the health, safety and security of the children in your care and attend to their needs in a nurturing way
Ensure the safety of each child in all areas of the facility
All toys should be wiped down daily with disinfectant wipes
The floor should be vacuumed daily and the trash should be removed
