Job Description

Join our People Team as anExecutive Assistant to the CEOto make a real impact every day. We say that because we know that every conversation we have, every code line we write and every interface we design is another opportunity for us to enrich our customers’ experiences.

Responsibilities

Reporting into the UK-based SVP Comms, Culture and Leadership Development, you will directly support the US-based CEO of Xplor. Primarily you’ll support both the CEO and one other Executive member with all their EA needs. In addition, you’ll provide project-based support for the People Team as agreed with your leader. You will also be a Team Leader with two direct reports; one other EA (UK-based) and office manager/EA (US-based). Here are the main responsibilities of the role:

Extensive diary and travel management for the CEO and another Executive member
Timely submission of expense reports using Concur
Manage all scheduling activities for the Xplor Board and the CEO’s other Board activities. This includes:

Liaising with other stakeholders about room bookings, catering and guest registrations
Coordinating dates with senior leaders at other companies
Group Hotel Bookings
Group Dining preparations
Other ad hoc bookings as requested by the CEO

Take on other People Team project based work as needed, in discussion with your leader
Serve as the key point of contact for any other Group Exec enquiries
Manage your team, including all elements of the Xplor GPS performance management process (team meetings, regular 1:1s, completing mid and year end reviews)
The average base salary pay range for this position is $60,000 to $88,000
May be considered for a discretionary bonus

Required Qualifications For This Role

5+ years’ experience in an equivalent or similar role
Demonstrated organizational and multitasking skills
Experience in calendar management
Demonstrated prioritization skills
Excellent communication and interpersonal abilities- you'll work with challenging stakeholders from across the business, so you need to be able to build quick relationships with people to help you get things done
Ability to use own initiative to solve conflicts or to present a solution
Proficiency in office software and equipment, including Microsoft Office Suite
Demonstrated problem-solving skills and adaptability
