Vitalyc Medspa is looking for an administrative coordinator to join our corporate team to support the CEO, Vice President of Operations, and Medical Director. The role of the administrative coordinator is best suited for highly motivated, results-driven individuals that possess a passion for details, origination and communication with people! This role is equal parts administrative work and assisting in client care in our medical aesthetics practice.

WHAT YOU’LL DO

Support functions of CEO, VP of Operations and Medical Director at Vitalyc corporate office with administrative tasks, audits, reporting and marketing functions
Daily audits and reporting to aid in decision management for the organization in various systems and software
Facilitate and aid corporate team members to meet the essential functions of their roles within the organization by modeling and enforcing Vitalyc processes, policies and procedures and practice objectives
Assist in aspects of clients care for Medical Director and a Nurse Practitioner, ie. Charting, greeting patients, scheduling appointments and surgeries, collecting payments and assisting in applying for patient financing
Serve as a resource by directing team members to appropriate resources, training materials and management when indicated
Nurture and support new team members via training, mentoring and being a positive presence in the company
Monitor and maintain clinical inventory, product management and supply ordering for corporate office

WHAT YOU NEED

Ability to engage with team members, potential patients, and established patients with

Excellent written and verbal communication skills

Able to flex with the situation, open to new ideas and ways of doing things, champions of change for the team - helps them to understand the change and embrace it
Skilled in prioritizing, planning, delegating and can multitask when needed
Maintains patient/client confidentiality in accordance with HIPAA regulations and company policy as well as maintaining a high level of integrity with a strong ethical foundation
Must have sound judgment, problem solving and decision-making skills
Experience as a Medical Assistant or background in administrative roles within healthcare is
preferred
Spanish speaking is a plus, but not required
Flexible schedule, including evenings/weekend
