Job Summary

As an Assistant Operations Manager, you will be responsible for coordinating various operational activities, managing schedules, and providing administrative support to different departments within the organization. You will play a key role in streamlining processes, improving productivity, and maintaining a high level of organization. The ideal candidate should have strong organizational skills, excellent communication abilities, and the ability to handle multiple tasks effectively.

Responsibilities

Coordination: Assist in coordinating day-to-day operational activities, ensuring that tasks are completed efficiently and on schedule.
Scheduling: Manage and maintain schedules for meetings, appointments, and project timelines.
Resource Management: Monitor and allocate resources, such as equipment, materials, and personnel, as needed.
Documentation: Maintain organized records, including operational procedures, reports, and project documentation.
Communication: Facilitate communication and collaboration among different teams and departments.
Process Improvement: Identify opportunities for process improvement and recommend enhancements to streamline operations.
Administrative Support: Provide administrative assistance, including data entry, filing, and document preparation.
Inventory Management: Assist in managing inventory levels and reorder supplies as necessary.
Vendor Relations: Liaise with vendors and suppliers to coordinate deliveries and services.
Quality Assurance: Ensure that operational activities meet quality standards and comply with company policies.
Problem Resolution: Address operational issues and obstacles promptly and effectively.

Qualifications

High school diploma or equivalent (associate or bachelor's degree is a plus).
Proven experience in operations or a related role.
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in using Microsoft Office software (Word, Excel, Outlook).
Detail-oriented and committed to maintaining accurate records.
Ability to work independently and collaborate effectively with cross-functional teams.
Strong problem-solving and decision-making skills.
