Position Summary

The Director, Internal Events will report to the Operations Chief of Staff & VP Operations and is responsible for the day-to-day operations and logistical coordination of ACP’s main event space, located in our DC HQ, for internal and external audiences. The individual is responsible for coordinating, scheduling, and logistics for internal conferences, workshops and events. The Director will partner with internal and external parties and provide direction and/or access to resources to ensure successful events and facilitate timely communications regarding event logistics to all relevant audiences.

Additionally, the Director, Internal Events will interact with all levels of staff within ACP, across all departments and disciplines, and with key external stakeholders and members so must demonstrate exceptional people skills with a professional and solutions-oriented approach to work. The renewable energy industry is a fast-paced, emerging space, and ACP staff reflects that and manages priorities accordingly. The Director will need to have excellent written and verbal communication skills, the ability to juggle simultaneous projects, and thrive in a collaborative, high performing environment.

Essential Functions/Major Responsibilities

Plan, coordinate, and successfully execute internal events which include ACP Board of Directors meetings, ACP wide staff events, ACP member networking events, fundraising events, and other needs that arise at ACP’s DC office HQ.
Responsible for ensuring events are on time, on budget, and meet the organization and/or client goals. These responsibilities include contracts and pricing, creating event schedule or ‘run of show’, catering, space allocation, music, staffing/labor, space set-up and breakdown, A/V technical elements, and other necessary logistics for each individual event.
Formalize and implement SOPs for internal event space, coach and counsel ACP employees to reflect those standards and procedures for in-house events.
Develop and implement pre and post event processes, including planning and wrap-up meetings.
Manage existing and cultivate new relationships with vendors and suppliers to ensure quality service and competitive pricing.

Education, Experience, Skills

Bachelor’s Degree in relevant field such as hospitality with 8+ years of progressive work experience, including 3+ years of experience in a senior role in events planning.
Demonstrated leadership ability to guide stakeholders through the event planning and execution process, and direct experience overseeing event staff and/or contractors.
Track record of implementing quality control standards to ensure timeline and budget parameters are met while ensuring maximum performance and alignment on goals.
Excellent oral and written communication skills, exhibiting service-oriented approach, white glove service, with professional presentations skills.
Track record of positively contributing to client, department and overall organizational goals though excellent interpersonal skills and highest professional standards.
Demonstrated ability to effectively interact with people of diverse socioeconomic, cultural, disability, and ethnic backgrounds.
Ability to work nights and weekends as needed (10%).
Ability to work independently and accomplish projects with little supervision.
Must be proficient in Microsoft Office Suite.

Job Conditions

We are a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This position may experience high level work demands and independent decision-making under tight timelines.

We reasonably believe that the base salary range for this position is $85,000 – 120,000. At ACP, a wide range of factors are considered when making compensation decisions including and not limited to skill set, experience, training, education, knowledge, and other business and organizational needs.
